Understanding event entry payment status

The status of an event entry is tracked independently of the payment status. With the exception of waitlisted events, one does not automatically wait on the other. This article outlines how entry and payment status work and how to check them.

Must-knows:

  • Payment status can have one of the following values: Pending payment, Awaiting payment, Partially paid, Unpaid or Paid
  • Entry status depends on what you're looking at. For events, it's whichever default entry status your event uses: Registered, Confirmed, or Waitlisted. For memberships, the status is either active or expired.
  • A payment taking longer to settle, for example, an async payment method like Direct Debit, only affects payment status. It does not hold up status for Registered, Confirmed events, or memberships.

How entry status and payment status work

  • Registered or Confirmed events: Entry status is set immediately on successful registration, regardless of payment. Payment status starts as Awaiting payment and updates to Paid automatically once the payment completes, whether that's instant (e.g card) or takes a few days (e.g Direct Debit).
  • Waitlisted events: Entry status starts as Waitlisted and a payment method is collected, but no charge is attempted. Once a Director confirms the athlete, payment is attempted, payment status becomes Pending payment, and status stays Waitlisted until a payment succeeds. Once it does, payment status updates to Paid and the entry is auto-updated to confirmed.

How to check an athlete's entry and payment status

  1. From the Event dashboard, select the division and go to the Atheltes tab. The entry and payment status will be displayed under the Status column.

Example: Waitlist eventExample: Confirmed event

  1. Alternatively, go to the Event dashboard and click All entries from the top right.

  1. Here you will see all the entries for the whole event. The entry status is under the Status column; payment is under the Payment column.

Payment information is also available in the entry and event payment report. The event entry report lists the entry and payment status for all entries into an event; the payments report lists all entries with a successful payment and can be reconciled against transactions in your Stripe account.

Common questions

An athlete's entry is Confirmed, but payment says Awaiting payment; is something wrong?
No, this is expected for Registered or Confirmed events when the athlete pays via an async method like Direct Debit or PayTo. The entry is valid; payment is still settling or outstanding.

Why does a waitlisted entry behave differently?
Waitlisted events are intentionally designed so a Director reviews and confirms before payment is even attempted, so status and payment status move together for waitlisted entries in a way they don't for Registered or Confirmed events.

Does this apply the same way to memberships?
Yes. A membership is active immediately, similar to Registered or Confirmed events, while payment status is tracked separately and can sit at Awaiting payment until the payment clears. See Understanding a member's membership payment status

What happens if payment never succeeds?
For Registered or Confirmed events, the entry itself is not automatically revoked; a Director needs to review and decide whether to follow up, request payment again, or remove the entry. For waitlisted events, the entry simply stays waitlisted until payment succeeds or a Director manually confirms it. See How to request payment from an athlete for more details.
