Adding documents to event registration
Rules, schedules, terms, waivers: whatever registrants need to read or agree to, add it to your event registration. There are three kinds of documents, depending on what you need registrants to do:
Type | What registrants do | Use it for |
|---|---|---|
Open and read. Never blocks registration. | Schedules, event info, venue notes | |
Tick a checkbox to accept before they can continue | Terms and conditions, code of conduct | |
Fill in and sign the document, then get a signed copy by email | Waivers and releases that need a signature |
Must knows
- Information and Requires acceptance documents must be PDFs. Export from Word or Google Docs before uploading.
- If your event had a terms and conditions PDF prior to 16th Oct 2026, it's already in your document list as a Requires acceptance document. See Terms and conditions in registration.
- Documents to sign need a DocuSeal Pro account connected to Liveheats. See Collecting signed documents with DocuSeal for more details.
How to add a document to read or accept
- Go to Event settings > Registration and scroll to Registration documents.
- Click + Upload document and choose your PDF.

- Enter a Document name. This is what registrants see, for example, "Event details" or "Terms & conditions".

- Choose a Type: Information or Requires acceptance from the dropdown.
- To add another, click + Upload document again.

- Click Save at the bottom of the page.
A document won't save without a name and a type selected. To change a document, edit its name or type in the row and click Save. To remove a document, click the bin icon in its row, then click Yes, remove this document in the modal and click Save.
What registrants see
- On the event page, every document is listed under Entry details.

- On the Entries step, the same documents are linked above the entry form.

- On the Your details step, each Requires acceptance document has its own checkbox, with the document name linking to the PDF:
I have read and accept the [Document name], and where the athlete is under 18, I accept as their parent or legal guardian.
Registrants can't click Continue until every box is ticked.

- In the confirmation email, all documents are linked under Event documents.
Collecting signatures
For waivers, releases, or any other documents that need a signature, use Documents to sign via Docuseal. See Collecting signed documents with DocuSeal for all the details on connecting a Docuseal account, building the document and where to find signed copies.
Common questions
- Can I use more than one type on the same event? Yes. For example, add your schedule as Information, your terms as Requires acceptance, and a waiver to sign through DocuSeal.
- Should my terms and conditions be accepted or signed? Most organisations use Requires acceptance. See Terms and conditions in registration for the difference and what to include.
- How do I know a registrant accepted my terms? Registration can't be completed without ticking every Requires acceptance checkbox, so every completed entry has accepted them.
- Will my document name be translated for registrants using another language? No. Registrants see the name exactly as you typed it.
