Making announcements to athletes in an event via email, push notification and AthleteiQ
Before, during, or after an event, you might like to send an email to your registrants with information about the event or an update.
Making announcements via email and push notifications
This feature allows an event director to write messages to athletes - including hyperlinks, images and using a rich text editor. Send announcements directly to athletes entered for your event: athletes receive an email, a push notification and can read the message in the AthleteiQ app - no contact list needed.
How to send a message
From your event dashboard on Liveheats, open the Announcements tab and follow these steps. Athletes will receive your message via AthleteiQ and email.
- Open your event and go to Announcements. You'll see a 'New' tab and a log of previous announcements

- Write a clear **subject **
This is what athletes see on their push notification, so make it descriptive and concise.
- Write your message
You can tailor your message to your needs, format it, insert links and even images.
- Choose your audience
You can filter by registration status **- **to make sure the right audience gets your message.
- Hit send!
Athletes will receive a push notification to their device, a message in their AthleteiQ inbox and an email.
Note:
- Athletes who haven't installed AthleteiQ won't receive the notification, but the freemium version of the app is free to download for athletes. The more athletes at your events who have the app, the more effectively you can reach them.
- Registrants need to have a user email linked to their athlete profile to be able to log into AthleteiQ and receive messages - we recommend using announcements in combination with our registration tools
What athletes see - push notifications & AthleteiQ
Athletes will receive a notification and a message in their AthleteiQ inbox. Athletes without push notifications enabled won’t see the banner, but they can still open the Announcements section in the app at any time and read all messages there. See below for an example:



FAQ:
- Can athletes reply to my message?
Messages are one-way but athletes can respond via email - we've set the "reply-to" to use your organisation's contact email, which can be set in the organisation settings. You can also include a contact method in the message body.
- What if an athlete registers after I send a message?
Late registrants don’t receive past messages retrospectively. They will receive any new messages you send after they register.
- Is this feature free for athletes?
Yes. Receiving and reading messages is part of the free AthleteiQ experience. Athletes don’t need a paid subscription to get your announcements.
- How do I get my registrants using the AthleteiQ app?
Your athletes can download AthleteiQ for free from the App Store and Google Play. More infos on how AthleteiQ works and how to get it are available on the AthleteiQ page.
Understanding who receives an announcement
Announcements are sent to the users linked to each athlete profile, not to the athlete profile itself.
Every athlete profile can have one or more linked users, each with their own email. A user might be the athlete themselves, a parent, or a coach. Users are linked automatically during event registration, but they can also be added manually by the event director or by the user themselves (here's how).
Because of this, the number of recipients of your announcement may not match the number of entries in your event:
- Fewer recipients than entries: some athletes have no user or email linked to their profile, so there's no one to send the message to.
- Shared recipients: multiple athletes can share the same user. For example, a parent linked to two siblings receives one message, not two.
- More recipients than entries: some athletes have multiple linked users (e.g. athlete + parent + coach), and each receives the message.
