Creating and configuring a series for membership

Set up membership registration on Liveheats in minutes. This guide covers how to create your series, configure your membership options, and add context for your athletes by using our description fields.



1. Create your membership series


  1. Log in to your Liveheats dashboard.
  2. Click Rankings & membership in the top navigation.

  1. Click Create series.

  1. Enter your series details:
  • Name: (e.g. "2029 Memberships"). Keep this concise.
  • Series type: Select Membership only (or Membership and rankings if you want ranking to track against this - recommended for small clubs).
  • Membership notes: Add optional notes, great for high-level info like season dates and detailed infomation and links relating to each membership option. (Athelte's will see this via a read more link when signing up for a membership)
  • Restrict event registration: Toggle this 'On' if you require athletes entering events in this series to have a membership (This will allow to you limit event registions to members only, see here for more)
  • Membership options: Add your options/divisions (e.g. "Junior," "Full competing membership", "Regional"). Note: You can add detailed descriptions for these in the next step!

  1. Click Save and contiune See below for to configure pricing and set descriptions, and publish you membership to begain receiving sign-ups


2. Configure Registration form, pricing and descriptions


Once the series is created, you can customise the pricing, options/divisions descriptions and and set you membership to "Open" to start receiving sign-ups.


  1. Once created, click Series settings, then the Membership tab.
  2. Connect to Stripe: If you haven't yet connected your Stripe account, you'll be prompted to connect to Stripe. Click Go to payment settings and follow the steps to get Stripe set-up, then return to these instructions. See Creating or connecting a Stripe account to Liveheats to accept payments for more info on connecting Stripe

If you already have Stripe connected, then please go to the next step.


  1. Set Pricing: Firstly click the Set up membership button. Now, you can enter your prices and relevant registration rules.
  1. Membership option descriptions: You can add an optional description to each membership option/division which will display before an athlete purchases a membership and when selecting a membership option during registration.

  1. Registration form & documents: Just like our pricing, we also offer a wide range of custom settings for collecting information and documentation from athletes during the membership sign-up.
  1. Set Status to ‘Open’: When you're ready to open your membership registration, set the status to Open at the top

  1. Lastly don't forget to Click Save at the bottom of the form.


Note: By default all memberships are Series based (e.g. each member only has to join the series once) and you'll create a new Series next year for all members to renew.
