Rescheduling or cancelling an event
We understand that in action sports, plans can change due to weather, scheduling conflicts, or other external factors. Our flexible credit model is designed to provide you with Zero Risk planning during your registration phase.
What happens to my credit if the event is cancelled?
Liveheats event set up, and registration features are free; a credit is only considered "used" when you manually activate it to unlock our live event tools via the Activation Bar.
Before activation:
- If your event is cancelled while in the setup or registration phase, your credit balance remains untouched.
- There is no need to request a credit reinstatement.
- You can simply update the event status to Cancelled.
After activation:
- Once you have clicked Use a credit to unlock additional tools (like draw generation or live scoring), the credit is consumed.
- If your event is cancelled after this point, please update the event status to Cancelled.
- Then contact community@liveheats.com and reference the cancelled event. We will then review and reinstate the correct credit size to your account.
Managing your athletes & registrations
If you need to cancel or postpone, you have two main options for your existing athlete entry list:
Option one: Reschedule (Keep registrations)
If you are just moving the date, you do not need to cancel the event.
- Go to Event settings and update the Start and End dates.
- Update your event status to Entry open if you want to allow more entries.
Option two: Cancel & Refund (Remove registrations)
If the event is not going ahead, you may need to clear the field.
- For paid entries: You may need to issue refunds. This can be done via your Stripe Dashboard. Cancelling and/or removing an athlete's entry in Liveheats does not automatically trigger a bank refund. Read our article: How to refund a payment for more information.
- For the athlete list: You can remove athletes individually from the division Athletes tab, or contact support if you need to bulk-clear a registration list to start fresh.
Deleting an event
Whist not reccomened you may choose to delete your event and all associated data.
This can be done by:
- Logging in to your Director dashboard
- Navigate to the Event **and go to the **Event setting
- Scroll down to the bottom of the Event settings
- If you are 100% certain you'd want to delete the event and all associated data, click the Delete event button
- Please note that deleting an event will permanently delete all data (athletes, heat draw, seeding, registration information including the payment summary), as well as remove the event from your public Liveheats account. It cannot be undone!
We strongly recommend if an event has been rescheduled editing the event dates to the rescheduled date(s) or if Cancelled changing the event status to Cancelled and requesting a credit reinstatement.
