Plan and billing frequently asked questions (FAQ)

What does each event credit cover?

An event credit can include as many divisions, rounds, days, or disciplines as you like, as long as the number of entries is below the limit specified by your plan, and that heats or runs all fit on one schedule. It's also important to note that you can only run a maximum of two heats or divisions at one time simultaneously in each event, using our double-panel feature. So with that said, you'll need additional credits to set up multiple 'events' in any of these cases:

  • You have more than two divisions or heats running at the same time at any one time, or
  • You have two divisions or heats running at the same time but they start and end at different times (e.g. if you have 2 separate courses/areas/podiums that run on their own timeline or schedule, and those heats on both courses/areas/podiums will not start and end together)

How does billing work?

You can set up your event and take registrations for free. You purchase event credits for your organisation. An event credit is only "used" when you are ready to unlock live competition tools like heat draws and live scoring via the Activation Bar on your event dashboard.

Note: This applies to Standard organisations only. If you are an Enterprise partner, your event credits are applied automatically, and you do not need to use the Activation Bar to unlock live tools.

What payment methods do you accept?

You can pay within LiveHeats using any major credit or debit card. If you are a small club without a credit or debit card, contact support (sales@liveheats.com) and we can issue a manual invoice for electronic funds transfer.

Can we pay as we go?

Yes you can buy one-off event credits, but rates are significantly better if you buy in bulk. We encourage organizers to buy enough credits for their whole calendar upfront to get the best rates.

What if we cancel or postpone an event?

One of the major benefits of our flexible credit model is that you don't use an event credit until you are ready to run your competition. If an event is cancelled during the registration phase, your credit balance remains untouched. If you postpone, you can simply use your credit to activate the event whenever it is rescheduled.

What happens if we go over the athlete limit during an event?

We understand that athlete numbers fluctuate. When you click "Use a credit," the system will show your current entry count to help you select the right size. If you find yourself consistently exceeding your limits, we'll give you a friendly nudge that it might be time to purchase larger credit sizes for future events.
