Linking a user to an athlete as a Director: via import or manual link

Linked users can enter an athlete into events and memberships, and follow their results. As a Director, you can link a user to any athlete in an event you manage, either through an import or manually.

Must knows

  • For athletes under 13, link a parent or guardian’s email. Athletes under 13 can’t hold their own Liveheats account. The parent or guardian manages the profile on their behalf.
  • New users get an email to set up their account. If someone setting up an account enters a date of birth under 13, they get a link to send to a parent or guardian instead. See Creating and verifying your Liveheats account.
  • One athlete can have more than one linked user. For example, two parents can manage the same profile.
  • Linked users are notified. They get an email letting them know they can manage the athlete’s profile.

How to link users via an import

When you import entries to the event or to a division, simply include a column with "Email" in your spreadsheet, and this will link the athlete in the entry to the user. They will receive an email notifying them the link has been made and that they can manage their profile on Liveheats.

How to manually link a user to an athlete

  1. Once logged in as a Director, go to the Athletes & teams area via the main navigation. Alternatively you can click Edit on their athlete details if viewing them through an event seed list or series membership list
  2. Enter the athlete's name into the search box:

  1. Click the athlete, which will take you to the Edit profile page, scroll down to the Linked users area

  1. Click Link new user and enter the following details for the new user:
  • the name of the user (e.g. the athlete, or their parent or guardian for athletes under 13)
  • email address
  • contact number (optional)

  1. Click Save to update. If the new linked user does not have an account on Liveheats yet, they will receive an email to complete the set up of their new Liveheats account.

Common questions

I linked an under-13 athlete’s own email by mistake. What now?

Link their parent or guardian’s email as well. If the athlete tries to set up an account from the invite, they’ll get a link to send to their parent or guardian instead.

What happens when an athlete turns 13?

They can create their own account and ask their parent or guardian to link it to their existing profile. See Link another user or email to an athlete profile.

The linked user hasn’t received the email.

Ask them to check their spam folder. If they still can’t find it, see I didn’t accept my Liveheats invitation. How can I log in?
