# Issuing tax invoices to athletes for event and membership registrations

If your organisation is required to issue tax invoice receipts to athletes upon a successful event or membership registration, Liveheats provides two methods for this:
1. [Automatic issuing of tax invoice receipts via Stripe's invoicing feature](#2-automatic-issuing-of-tax-invoice-receipts-via-stripes-invoicing-feature)
2. [Manually issuing a tax invoice receipt upon request](#2-alternative-manually-issuing-an-invoice)

|| Note: When using Liveheats, a payment receipt is automatically issued upon successful registration via Stripe. However, this is not a valid tax invoice receipt. To issue a valid tax receipt, you'll need to use one of the above methods.

## Automatic issuing of tax invoice receipts via Stripe's invoicing feature

**Must-knows:**
* This feature is optional and available on request; please email [community@liveheats.com](mailto:community@liveheats.com), and we'll enable it on your organisation account.
* It also requires Stripe invoicing to be set up on your Stripe account.
* Stripe charges its own fees for automated tax calculation and automated issuing of tax invoice receipts, on top of standard Stripe processing fees.
* Liveheats does not charge any additional fee for either feature; see the fees section below.

### How to turn on tax invoice receipts

1. If you haven't already, send a request to [community@liveheats.com](mailto:community@liveheats.com) for us to enable this feature on your organisation account.
2. Set up tax calculation in your Stripe account. See [Stripe Tax documentation](https://support.stripe.com/topics/taxes) for more details.

Once enabled, a Stripe tax invoice receipt is automatically generated and sent whenever an athlete's event or membership registration payment is confirmed, including for waitlisted events.

||| Please ensure you understand Stripe's fees for automated tax and tax invoice receipts before using this feature. Whilst Liveheats does not charge any additional fees, Stripe has additional costs on top of their Standard Stripe fees.

### How to verify tax invoice receipts are being issued
1. You can verify tax receipts are set up and being issued as expected by navigating to an entry or membership in Liveheats and clicking **View transaction in Stripe**.
2. Once in Stripe, scroll down to the Receipt history section

3. Then click View receipt to confirm the invoice number and tax calculations (e.g GST, VAT) are present.

### How athletes access their tax invoice
Athletes can view and download their tax invoice from their payment confirmation email, the same place they would normally find their payment receipt. The invoice includes the tax amount, an invoice number, and your organisation's details.

## Alternative: manually issuing an invoice
If you choose not to turn on automatic tax invoice receipts, or an athlete needs an invoice for a payment made before you enabled the feature, you can create one yourself:
1. Find the payment, either by searching the athlete's name in your inbox or via the **Payments** area in Liveheats.
2. Using the gross payment details, create an invoice in your own invoicing or accounting system. Payments on Liveheats are tax-inclusive, so if you charge GST or VAT, that amount should already be reflected in the total the athlete paid.
3. If you do not have an accounting system, you can create a simple invoice using Google Sheets; see [this walkthrough video](https://www.youtube.com/watch?v=fR8X4IHLqN0) for how.
4. Send the invoice to the athlete.
|| If you use Xero, QuickBooks, or a similar system, you will need to work with your accountant to reconcile the payment against the invoice out of your Liveheats payout.

### Stripe's fees for tax collection and tax invoice **receipts**
Turning on automatic tax calculation and tax invoice receipts uses two separate Stripe features, each with its own fee charged directly by Stripe, in addition to your standard Stripe and Liveheats transaction fees. **Liveheats does not charge any additional fee for either feature.**
* **Automatic tax calculation (Stripe Tax):** typically charged as a percentage of the transaction volume processed in jurisdictions where you are registered to collect tax. See [Stripe Tax pricing](https://support.stripe.com/questions/understanding-stripe-tax-pricing) for current rates and plan options.
* **Tax invoice receipts:** typically charged as a small percentage of each paid invoice, capped at a maximum fee per invoice. See [Stripe's pricing for post-payment invoices](https://support.stripe.com/questions/pricing-for-post-payment-invoices-for-one-time-purchases-via-checkout-and-payment-links) document for details.
|| Note: this is separate from any GST or VAT Stripe itself may charge on its own processing fees, depending on your organisation's country. See [Global taxation of Stripe fees](https://support.stripe.com/questions/global-taxation-of-stripe-fees) for more on that. Exact pricing varies by country and can change, so check Stripe's own pages for the most current figures rather than relying on this article for exact amounts.

### Common questions
**How is this different from a standard payment receipt?**
A standard receipt confirms payment was made. A tax invoice receipt additionally itemises the tax charged and includes an invoice number, meeting the requirements for a compliant tax invoice in most jurisdictions.

**Do I still need to manually issue invoices if athletes ask for one?**
If you have tax invoice receipts enabled, most athletes will already have what they need from their payment confirmation. Use the manual method above only for payments made before the feature was enabled, or if you choose not to turn it on.

**Does this cost extra to use?**
Liveheats does not charge anything extra for either feature. Stripe applies its own fees for tax calculation and invoicing, see the fees section above.

**Does this work for memberships or events?**
It works for both waitlisted and non-waitlisted events and Memberships.

**Will this change the amount an athlete is charged?**
No. Registration prices on Liveheats are tax inclusive. Turning this on changes how tax is itemised and documented, not the total price paid.
